Front Office Manager [United States]


 

JOB SUMMARY: The Office Manager position duties may include but are not limited to, supervising front office staff, greeting patients, answering phones, scheduling patients, verifying insurance, chart preparation, collection of co-pays, and co-insurance under the general or direct supervision of the Director, Assistant Director and Staff Physical Therapist.

EDUCATION:

  • High School Diploma or equivalent

EXPERIENCE:

  • 1 year front office experience preferred
  • Understanding of insurances, billing and collections procedures
  • 1 year minimum supervisory experience preferred

QUALIFICATIONS:

  • Interest in physical therapy or related medical field.
  • Professional appearance, good hygiene.
  • Ability to multi-task.
  • Ability to follow directions and use sound judgment in performing job related functions.
  • Ability to communicate clearly and concisely with a respectful delivery.
  • Able to organize time and set priorities appropriately, demonstrating flexibility.
  • Ability to establish rapport and work harmoniously with patients, families, professionals, co-workers and the public.
  • Ability to uphold decisions of supervising therapists and take direction from supervisory personnel.
  • Ability to assume responsibility in carrying out assigned tasks.
  • Ability to maintain, clean, lift and move equipment demonstrating good body mechanics and sound judgment.
  • Demonstrate integrity and discretion in all job-related matters.
  • An attitude of excellence in providing quality patient care.

FUNCTIONS AND RESPONSIBILITIES:

  • Patient Related Duties:
  • Telephone Etiquette
  • Computer Usage
  • Scheduling of New Patients

a. Ability to identify HMO contracts in order to schedule properly.

c. Knowledge of which patients require an authorized referral.

d. Ability to obtain insurance information to verify if insurance is in effect and whether pre-certification is required.

  • Verifying Insurance
  • efficiently obtain all benefits and limitations on insurance contracts.

b. obtain verbal/written authorization for workers comp patients

5) Chart Preparation

a. prepare charts

b. prepare charge slips

  • Collection of co-pays and co-insurance
  • write receipts for money collected
  • document payment on charge slip and in chart
  • log payments into book
  • prepare deposit for accounting department
  • Communicate effectively with Administrative departments to integrate new company policies and procedures
  • Monthly reports to Director and Controller with statistical data on patient visits
  • Prepare packet to go to Administrative/Billing departments with co-pays, documentation, authorizations, schedules, fee tickets

Job Type: Full-time

Pay: $16.00 - $17.50 per hour
